Maintenance that reminds you

Add the jobs the building needs, such as the EICR, gas safety, fire alarm, extinguishers, emergency lighting and fire doors, with how often each one comes round and who looks after it. Reminders are emailed a week before, the day before, on the day and the day after, and completing a job sets the next due date.

The fire log book and the certificates

Record each fire check with its result and when the next one is due, and keep the electrical, gas and extinguisher certificates with their expiry dates, so nobody goes hunting when the insurer or the District asks.

The Scouts' premises audit, done properly

Work through the 2026 Safe Scouting premises audit with the evidence Scout Suite already holds shown next to each question. Every gap gets an owner and a target date, can become a maintenance task or a risk register entry, and the finished audit is a PDF for your trustees.

Anyone in the group can report a problem

A broken lock or a leaking boiler can be reported by any adult in the group in a minute, with a photo. A QR poster on each building or room opens the form with that building already chosen, and the report is emailed straight to whoever looks after it.

Hall hire that pays its way

Keep a diary of who uses the hall, with weekly repeat bookings and a clash check against section meetings and events. Store each hirer's insurance certificate with the date it runs out, record when they accepted your terms, and raise an invoice, with a deposit if you want one.

It all adds up in the accounts

Hall hire income has its own category under the right charity accounts heading, contractors, landlords and insurers sit in your contacts, and the hut is pinned on the map.

Where this fits in Scout Suite

Scout Suite is broader than a single feature. This page connects into the wider operating system for members, parents, leaders, treasurers and trustees.

Questions groups ask

Can we manage hall hire in Scout Suite?

Yes. Groups keep a diary of hall hire bookings, including weekly repeats, check them for clashes with section meetings and events, keep each hirer's insurance certificate and raise invoices for the hire. A leader or the treasurer adds each booking: hirers don't book for themselves.

Will Scout Suite remind us when the gas safety check is due?

Yes. Each maintenance task comes round every so many months, and reminder emails go to the person looking after it before, on and after the due date.

Can hirers or the public use the QR poster?

No. The poster opens the report form for signed-in adults in the group, so anyone on the team can use it, but hirers and the public can't.

Can a District or County use this for its own buildings?

Yes. Building maintenance, the premises audit and reported problems work for Districts and Counties too, for example at a campsite. Hall hire is for Groups.
