Trustees

Scout trustee board and governance software

Give your Trustee Board what it needs: a trustee report with what needs a decision first, yearly declarations of interest, a risk register, key documents with expiry dates, signed-off minutes and charity accounts headings, with the right terms for your nation.

A report for every trustee meeting

Produce a report for the time since the last meeting. Anything that needs the board, such as RIDDOR incidents, high-scoring risks, expired certificates, overdue subject access requests or Gift Aid waiting to be claimed, comes first, then membership, safety, premises, data protection and money. Every report is kept, with a PDF for the meeting papers.

Each trustee sees only what they can see elsewhere

The board's own housekeeping

Each trustee declares their interests once a year, or ticks that they have nothing to declare. The report flags a reserves policy due for review, insurance that has run out or is about to, and anyone still to declare.

Risks the board can actually weigh up

The risk register holds the big risks to the organisation, scored before and after your controls, each with a real owner from your volunteers or contacts, and exports as a PDF for the meeting.

The documents trustees get asked for

Keep the lease, insurance, governing document and grant paperwork in one place, each with an expiry date and the contact it relates to, alongside your landlord, insurer and contractors.

Minutes and records you can stand behind

Record or upload a meeting, get a transcript, summary and minutes, and sign the minutes off. Every conversation is also kept as a signed vCon on a separate vCon store, outside Scout Suite, so the record is tamper-evident and is still there if something in Scout Suite is deleted or damaged.

Accounts by charity heading, and the right regulator

Income and expenditure comes out under the charity accounts headings, split into unrestricted and restricted money, with a CSV for whoever prepares the accounts. Your charity number is labelled for your nation: the Charity Commission, OSCR or CCNI.

Roles that match the board

The Chair, Group Lead Volunteer, Treasurer and Trustees each have their own role. A Trustee sees the group's figures, not young people's details, and the audit log records who changed what.

Where this fits in Scout Suite

Scout Suite is broader than a single feature. This page connects into the wider operating system for members, parents, leaders, treasurers and trustees.

Questions groups ask

Does Scout Suite file our annual return or accounts?

No. Scout Suite produces the figures, by charity accounts heading, and the trustee report. You still file with the Charity Commission, OSCR or CCNI on the regulator's own website.

Can trustees see young people's details?

A Trustee reads the group's figures, not young people's details. The Chair and the Group Lead Volunteer can do everything an admin can, and the Treasurer manages the finances.

Does it work for Districts and Counties?

Yes. Districts, Counties, Areas and Regions have their own trustee report, declarations of interest, risk register and documents.

Does the trustee report cover disclosure checks?

No. Disclosure checks and training are kept in the Scouts' own membership system, so they aren't part of the report.
