AI assistant
AI assistant for Scout leaders
Ask about your Group and get answers from your own records and from the Scouts' Policy, Organisation and Rules, in the app or on WhatsApp. It only ever sees what you can see.
Answers from your own records
Ask who's nearly finished a badge, what's coming up, which invoices are still outstanding or what's in the kit store. The assistant looks it up in your Group's members, waiting list, events, programme, badges, equipment, invoices and risk assessments.
POR, quoted and linked
Questions about the rules are answered from the Scouts' Policy, Organisation and Rules, with every rule it quotes linked to the Scouts website. It works out adult ratios and shows its working, and when POR doesn't cover something, it says so. Treat its POR answers as a guide.
It sees what you see, and nothing more
The assistant works as you, with your permissions, so it can't show you a young person or a figure you couldn't open yourself. It reads, it doesn't change your records. The one exception is adding a piece of equipment, which it shows you first and waits for you to confirm.
In the app or on WhatsApp
Open Assistant from your account menu, speak instead of typing, have answers read aloud, or attach a photo or a spreadsheet. Leaders who've verified their phone can message the Group's WhatsApp number and get the answer there.
Your conversations, kept properly
Each conversation is named from your first question, and you can rename, archive or delete it. Nobody else can see your chats. Each one is also kept as a signed vCon on a separate vCon store, so you have a tamper-evident record you can download.
On the phone, and in your own AI tools
An AI assistant step in a call flow can answer callers it recognises, with only what that caller is allowed to hear. Developers can connect their own AI tools to Scout Suite with MCP tokens.

Does the AI assistant cost extra?
No. It's part of the Scout Suite subscription.
Can the assistant change our records?
Only to add a piece of equipment, and it shows you what it will add and waits for you to confirm. Everything else is read-only.
Can it get POR wrong?
It answers from the Policy, Organisation and Rules and links every rule it quotes, so you can check. Treat its answers as a guide, and check anything important against POR itself.
Can parents use it?
Yes. A parent can ask about their own children's badges and events, and nothing else.
