How-to guide
Equipment kits and bookings
A kit is a set of equipment that goes out together, like a patrol camp kit or a cooking box. Book the whole kit in one go, see every booking on the calendar, and pack from its pick list.
Watch this on its own pageBring your inventory in
Go to Settings → Import and choose Equipment. Drop in a CSV with a row per item: a row for each tent with its own serial number becomes one item with a unit per tent, and a row with a quantity (four stoves) stays as a quantity.
Check the preview, then import. Export inventory gives you the same format back, so you can edit in a spreadsheet and keep a copy.
Build a kit
Go to Equipment → Kits and choose New kit. Give it a name, choose the equipment for each line and how many, and Add item for the next line. Create kit saves it.
Book the whole kit
Choose Book on the kit. Pick a group checkout for a camp or event, or a loan to someone, and the dates. Scout Suite shows how many of each line are free for those dates and reserves the units for you. Note the trailer or car it's going in under Transport.
See it on the calendar
Equipment → Booking calendar shows every booking and loan by date, so two sections don't plan on the same tents for the same weekend.
Pack from the pick list
Every kit has a Pick list to pack from and to tick off again when it comes back. It opens the kit's packing checklist: Print sends it to your printer, and Download PDF saves the same list as a PDF named after the kit. Equipment → Checklists has the other sheets, issue and return, stock-take and inspection, with the same two buttons.
Choose who gets equipment emails
On Equipment → Loans/Checkout, Equipment email alerts sets who hears about equipment. They get a daily email when kit is overdue, going out or due back, and an email straight away when something is reported for repair. Borrowers with an account are reminded the day before their kit is due, and again if it's late.
