How-to guide
Transaction categories
Every bank line you explain gets a category from a list. Each category sits under a charity accounts (SORP) heading, so the income and expenditure report can be totalled the way your annual accounts need it. The SORP headings are the same across the UK.
Watch this on its own pageFind your list
Open Settings → Transaction categories, or Manage categories at the bottom of Explain transaction. Everyone starts with a default list for a Scout group, such as Subscriptions, Event and camp fees, Donations, Equipment and Premises and utilities.
Each one has a heading
Money in goes under Donations and legacies, Charitable activities, Other trading activities, Investments or Other income. Money out goes under Raising funds, Charitable activities or Other spending. Transfer between accounts is neither, so it's left out of the totals.
Change a category's heading from the menu next to it if your accounts treat it differently, for example if your independent examiner puts hall hire under charitable activities.
If you started by typing in what the group already had as bank lines, add your own category under Not income or spending for them, such as Balance brought forward. They're then left out of income, and How this links to what you hold on the report shows them on their own line.
Make the list your own
Rename any category with the pencil. Lines you've already explained with it are renamed too, and so are rules that use it. Hide a default you never use, and show it again later.
Add your own under Add a category: give it a name, say whether it's for money in, money out or either, and choose its heading. Use only our own categories hides every default at once, if you'd rather start from scratch.
Pick from it when explaining
In Explain transaction, Category only offers what fits the line: money-in categories for money coming in, money-out ones for money going out. A line explained before the list existed keeps its old category, marked not in your list, until you change it.
Report by heading
Finance → Reports & compliance → Reports → Income & Expenditure now ends with By charity accounts (SORP) heading: each heading's total, split into unrestricted and restricted money, with the categories that make it up. Download CSV gives you the same table to copy into your annual accounts or hand to your independent examiner.
If a category isn't in your list, the report counts it under Other income or Other spending and names it at the top, so you can add it with the right heading.
