How-to guide

Exports

Everything you can print or download for a section is on one page: **Exports** in the section's menu. Each export has its own **Print** and **Download PDF** buttons, and both give you the same thing.

  1. Find your exports

Open the section and choose Exports in its menu. It lists the In Touch export, the Member list, Address labels, Young person cards, the sheet of who is in each Six or Patrol, the Waiting list and Badge pouch inserts. Choose one to open it. Exports stays lit in the menu while you're on any of them.

If you can open them, the Group's own exports are listed underneath: the whole Group's Waiting list, the Membership report and census, and the full Data export.

  2. Choose the member list's columns

On the Member list, tick the columns you want. It starts with the row number, name, role, their Six or Patrol, and their Rank in it, such as Sixer, Seconder or Patrol Leader. You can add their date of birth, age and when they joined. Name is always on.

The table on the page, the printout and the PDF always have the same columns, in the same order.

  3. Health details

Volunteers who can change young people's records in the section, such as its Team Leaders and the Group Lead Volunteer, can also tick Allergies, Medical conditions, Medications, Dietary needs and Additional needs. Anyone else isn't offered them, and Scout Suite leaves them out of the PDF too.

Health details are special category data. Only give a list with them to people who need it, and destroy it when you no longer do.

  4. Export the waiting list

The section's Waiting list export lists the children whose age fits the section today, and any whose family chose it, oldest sign-up first. A Team Leader can export their own section's. Group leaders who can see the whole waiting list also get Waiting list, whole Group, in the order places are offered.

Choose a Status (Waiting to start with, or All statuses), check the table, then Print, Download PDF or Download CSV. The CSV has the same columns as Settings → Import, so you can change it in Excel and import it back. Gender and the family's own notes are never included.

Only the whole Group's list with All statuses has an id column, and importing that file back replaces the waiting list: anyone you delete from it is removed. Any other waiting list download only adds and updates entries when you import it.

Every Download PDF and Download CSV is recorded in the audit log, with who downloaded which list.
