How-to guide

Requiring sign-in

Turn this on once a sign-in connection is set up and working. It only affects the people who use your organisation. Nothing changes for anyone until the grace period ends.

  1. Before you start

You need a Microsoft 365 connection, or a single sign-on provider that is turned on, on the Single sign-on page. The guides Connecting Microsoft 365 and Setting up single sign-on show how.

You must sign in with that connection yourself first. Scout Suite will not let you turn the requirement on unless your own sign-in passes it, so you cannot lock yourself out.

  2. Turn it on

On the Single sign-on page, find Require sign-in. Choose the connection, and optionally list the email domains that are allowed, separated by commas.

Choose the grace period in days, from 0 to 90. The default is 14. Then press Turn on sign-in requirement.

A Microsoft 365 connection is checked each night, so it has no re-sign-in interval. A single sign-on provider cannot be checked in the background, so choose how often members must sign in again, from 1 to 90 days.

  3. The grace period

From the day you turn it on, nobody is blocked until the grace period ends. Members see a banner across the organisation's pages with the date, and each member is emailed when it starts and again three days before it ends.

Until the grace period ends, people who have not linked their account keep using the organisation as they do now.

  4. Who has linked

The card lists each member with a status: Linked, Not linked, Lapsed (their Microsoft account is no longer active), Wrong domain, Needs to sign in again, Access withdrawn (Microsoft has withdrawn Scout Suite's access to the directory) or Excused.

Use the counts at the top to see how many people still need to act before the grace period ends.

  5. Excuse someone

For a member who cannot sign in with that connection, choose Excuse beside their name. Write a reason of at least 10 characters, and optionally a date the excuse ends.

They and the organisation's admins are emailed. You cannot excuse yourself. To end an excuse early, choose Remove excuse, and the person must meet the requirement from then on.

Excuses are for people with a good reason, such as a volunteer who has no Microsoft account. Give the reason in your own words so the next admin knows why.

  6. What members see

A member who has not met the requirement after the grace period sees a page called Link your account to continue. It says which account the organisation needs, and why.

Their other organisations, and their family portal, keep working. Only this organisation is affected.

For this organisation, the member stops getting its staff emails, such as leader and incident notices, and the eSIM line they hold for it stops too. Messages sent to families through the family portal carry on as normal.

  7. Temporary access

If someone is locked out by a problem outside their control, the Scout Suite team can give them temporary access for up to 72 hours, with a reason. The person and the organisation's admins are emailed when it is given.

  8. Turning it off

Choose Turn off requirement to end it straight away. Members can then use the organisation without signing in with that connection.

If you cannot see the Require sign-in card, requiring sign-in has not been switched on for Scout Suite yet. Contact support.
