How-to guide
Reporting a problem
The hall door lock is broken, the boiler's leaking, a tent pole has snapped. Anyone in the group can report it in a minute, and it reaches whoever looks after it without them needing to know who that is.
Watch this on its own pageReport it from anywhere
Report a problem is in the top bar, the account menu and on the dashboard. Say what it's about (The building, A piece of equipment or Something else), what's wrong and how urgent it is, and add a photo if it helps. Every adult in the group can do this, whatever else they can see in Scout Suite.
Some things don't belong here
The form asks what happened first. Someone hurt, or a near miss, is recorded as an incident. A concern about a volunteer's conduct goes to your Lead Volunteer.
A safeguarding concern goes to the Scouts' UK HQ Safeguarding Team, as the Scouts' safeguarding policy (POR 2a.7) sets out: call 999 if anyone is in immediate danger, otherwise use the Scouts' online reporting form, always within 24 hours. Scout Suite never stores it.
It goes to the person who looks after it
Building problems go to whoever is picked under Building Maintenance, Maintenance Tasks, Reported building problems, or to the Group Lead Volunteer if nobody is. Equipment problems go to your equipment alert people, then your Quartermaster. Anything else goes to the Group Lead Volunteer. They get an email straight away.
Unsafe kit comes out of use
Mark a piece of equipment Unsafe, stop using it and it's set to Needs repair the moment the report is sent, so nobody can borrow it until it's fixed.
Sort it
Under Reported problems, To sort, open a report to say you're on it, turn it into a maintenance task, log an equipment repair, add it to the risk register, mark it as already reported, or close it with a note. Turning it into a task, a repair or a risk needs access to that area.
The reporter is kept informed
Everyone sees their own reports, and where each one has got to, under Reported problems. When a report is sorted, closed or matched to an earlier one, the person who reported it gets an email.
A poster for each building
Reported problems, Posters makes a QR code poster for each building or room. Print sends them to your printer, one to a page, and Download PDF saves the same posters as a PDF. Scanning one opens the form with that building already chosen. Districts and counties can do all of this for their own premises and kit too.
