How-to guide

Refunds and disputes

A refund on a card payment goes back through Stripe or Square to the card that paid. Refunds for cash, bank transfer or Direct Debit are recorded in Scout Suite, and you pay them back yourself.

  1. Issue a refund

In Finance → Payments, choose Refund on the payment (or Issue refund and pick it). Enter the Refund amount and a reason, and choose Record refund.

For a card payment, the money goes back through the processor that took it, and the refund is marked processed or failed when the processor confirms. The processing fee is returned in proportion.

  2. Refunds made in Stripe or Square

If someone refunds a payment in the Stripe or Square dashboard instead, it appears in Scout Suite automatically, so it isn't recorded twice.

  3. Track refunds

The Refunds tab lists every refund with its status, and each payment shows how much of it has been refunded.

  4. Disputes

If a payer disputes a card payment with their bank, the dispute appears on Finance → Payments, and the Group's finance leaders get an email with the amount, the reason and the deadline for evidence.

If the dispute is lost or accepted, the payment is reversed and its invoice reopens. If it's won later, the payment is restored. A Group using Square can respond from its Square dashboard; for Stripe, the email explains how to send evidence through Scout Suite support.
