Reconciling the bank
This is the treasurer job after money has moved: getting the bank into Scout Suite so unexplained lines, receipts and statement balances live next to the invoices. It does not mark subs invoices paid on its own.
Link the account — or keep it manual
Under Finance → Banking → Bank, the card is Bank accounts (Open Banking). Link bank account sends you to choose your bank (Open Banking via GoCardless). Connect via Stripe is another live feed that refreshes daily. Or Add manual account and type lines in, or Import statement (CSV, OFX, QFX or QIF) — no live connection needed.
This is not the same as Settings → Financial connections, which is how parents pay by card and Direct Debit. Collecting subs doesn't need a bank feed — see Collecting subs.
Bring transactions in
On a linked Open Banking account, Sync or Sync from bank pulls new lines (there's a cap of four syncs per linked account per day; a daily refresh also runs). Stripe-connected accounts say they refresh daily and don't have a Sync button. Then View transactions — Unreconciled only hides lines you've already explained.
Explain each line
Explain splits a transaction into allocation lines that must add up to the amount. You can apply a category suggestion, add auto-categorisation rules (description contains, amount at least, and so on), and save. Once the lines sum correctly, the transaction shows as Reconciled — meaning explained, not that an invoice has been marked paid.
Match suggestions can pre-fill a line from a nearby payment or invoice. That does not tick the invoice paid — cash and transfers still need Record payment on Income & Payments.
Receipts, statement check, and Stripe payouts
On the Receipts tab, upload a PDF or photo — extraction runs, then Suggest matches to pick a bank line. Reconcile statement on the Bank tab is a balance check: enter opening and closing figures and Verify. Stripe money landing in the bank is matched under Income & Payments → Payouts (Sync payouts, then Accept suggestion or Match to bank transaction).
The Cards tab is expense cards, not this job — and in most groups it still shows as coming soon.
