How-to guide
Microsoft Teams calling
For a Group, District or County Lead Volunteer or Chair, working with your Microsoft 365 administrator. Teams calling in meetings needs one approval from the administrator for each directory. Direct Routing is a separate setup, and it needs Microsoft Teams Phone.
Check your licence first
Teams calling in meetings works on Microsoft 365 Business Basic, because Business Basic includes Teams.
Direct Routing needs Microsoft Teams Phone on each user who will make or take calls. Microsoft 365 Business Basic does not include Teams Phone, so check your licences before you set up Direct Routing.
Scout Suite says this on the Single sign-on page and on the phones page as well, before you connect anything.
Connect the directory
Teams calling uses a Microsoft 365 directory that your organisation has connected. Connect it first, as described in Connecting Microsoft 365.
A Group can also use a directory that its District or County connected and offered to it. The offer is made on the District's or County's own Single sign-on page.
Grant consent once for the directory
On the Single sign-on page, find Microsoft Teams in-app calling and choose the directory under Microsoft 365 directory. Press Grant Teams calling consent.
Microsoft asks a Microsoft 365 administrator to approve the Teams calling app once. Sign in with a Microsoft account from that directory to finish, and Scout Suite brings you back to the page.
The approval is kept for the directory, so every organisation that uses that directory shares it. You don't need to repeat it for each Group.
Only the organisation that connected a directory can grant consent. If a Group is using a District's directory, the Group presses Ask [District name] to grant consent instead. That emails the District's administrators.
Turn it on
Once consent is granted, tick I understand that ACS calling minutes are billed to this organisation, not included in the Scout Suite subscription. Then switch on Enable Teams calling.
Choose Microsoft Teams (ACS) as the online meeting provider if new meetings should open in Teams. Meetings that already exist keep the provider they were created with.
Know what calls cost
Calls use Azure Communication Services. Your organisation pays for the participant minutes, and they are billed to your organisation. They are not part of the Scout Suite subscription.
Members sign in to Microsoft when they join a meeting. Cloud recording and transcription start when the first member joins, and they appear on the meeting page after the call ends.
Set up Direct Routing (optional)
Direct Routing lets Teams Phone users make and take calls through your Scout Suite phone number. On a Group's Telephony page, or a District's or County's Phones page, choose the directory and press Connect directory.
Scout Suite shows the SBC FQDN for your organisation. This is the hostname Teams will pair with.
Add the SBC domain to the directory
Add the SBC FQDN as a domain in the Microsoft 365 admin centre, then refresh the directory's domains on the Single sign-on page.
Until the domain is listed for the directory, Scout Suite shows Add the SBC domain to the directory first, and it names the domain that is missing.
Pair Teams and assign the numbers
Run the Teams pairing command shown on the page in Teams PowerShell, as a Microsoft 365 administrator. Then tick Gateway enabled on the page.
Under Teams users / numbers, add each number as it is assigned to a Teams user as Direct Routing. Leave the call flow empty to make the number dialable from Scout Suite eSIM phones. Choose a call flow to send its calls there.
