How-to guide

Pre-pay events

On a pre-pay event, signing up doesn't take a place. The place is reserved when the full cost is paid, so the places go to the families who pay first.

  1. Choose who can sign up

When you create the event, answer Who can sign up?: young people in the sections you choose, every young person in the group, or leaders only.

  2. Require payment

Under Signup & financials, set a Cost per person and tick Require payment before a place is reserved. A deposit doesn't hold a place. If the event fills while someone is paying, their payment is refunded and they join the waitlist. With no capacity set, places are unlimited.

  3. Publish it

A new event starts as a Draft, so parents can't see it. Choose Publish and it opens in the family portal, and each invited family gets one email with the date, place, cost and a link to sign up.

  4. Parents pay to reserve

In the portal the event says Pay to reserve a place. A child who's signed up but hasn't paid is Awaiting payment, and leaders see them listed that way until the full amount is paid.

Paid at the hut on the group's card reader instead? Find the sale under Finance → Card sales, tag it to the event and choose who it paid for. That confirms their place, as long as there's still room.
