How-to guide

Planning section sizes

Reports → Section planning works out each section's numbers month by month from everyone's age, who is due to move up, and your waiting list. When a section is full, the young person moving up to it waits where they are until a space comes up, and the plan tells you how long that will be.

  1. Give each section a capacity

Open the section, choose Edit and set Capacity limit. That's how the plan knows when a section is full. Young people count towards it, Young Leaders included; adult volunteers don't.

A section with no capacity is treated as never full, and the report says so.

  2. Read the report

Go to Reports → Section planning. The cards show how many will wait for a place and for how long, and how long people actually waited over the last year. The graph shows every section, or pick one to see its capacity line. Tick Combine sections of the same type to see two Cub packs together.

Moves by month lists who moves where and when.

  3. Tell it what you know about each young person

Under Moving on, set a Moving on date if someone will move at a different time to their age, and Moving up to if they can only go to one section, for example only Tuesdays. The forecast shows whether they'll wait, and for how long.

  4. Choose who gets a place first

Under Planning settings, the group chooses its default: Moving up first (young people already in the group before the waiting list) or In the order they asked. Each section can follow the group or choose differently.

A child on the waiting list is never offered a place before they're old enough for the section.

  5. Say where each section moves up to

Without any setting, young people move to whichever section of the next type has the most space, shown as an estimate. To be exact, add the sections they move up to with a percentage each, for example 75% Monday Cubs and 25% Thursday Cubs. Anything under 100% leaves the group.

Scouts can move up to an Explorer Unit in another organisation: choose Another group or unit and search for it. The Unit then sees your Scouts coming in its own planning, as numbers only.

  6. Each section's waiting list

In a section, Waiting list shows everyone hoping for a place in it, young people moving up and the group's waiting list together, in the order they'll be offered one.
