How-to guide

Getting parents online

Portal access is a deliberate invite, not a side-effect of adding a child. A primary contact with an email is what gets the Accept Invitation link.

  1. A primary contact is who can log in

On a child's Contacts tab, Primary Contact (can login and track progress) is the flag that allows a Scout Suite login. Emergency contact, authorised to collect, and parental responsibility are separate ticks — someone can be an emergency contact and never see the portal.

  2. Invite from Parent Invite Manager

From Young People, Parent Invites opens Parent Invite Manager — every primary contact across the group, with status Not invited, Invited or Active. Invite or Reinvite needs an email on the contact. Add Primary Contact picks the young person, name, relationship, email and phone, and Send invitation email immediately is on by default.

There's no "invite all" button. You invite one contact at a time. You can also invite from the child's Contacts tab after saving (saving alone doesn't send the email).

  3. What the parent gets

The email invites them to that child's Scout Suite account. Accept Invitation lasts 7 days — they sign in or create an account, then Go to Parent Portal. From then on, Parent Portal in the header takes them back.

What they can do once they're in is Using the parent portal.

  4. After a waiting-list offer

Offering a place creates the young person and emails "please contact your group leaders" — it does not create a primary contact or send this invite. Those children show under Young People Missing Primary Contact until you add one here.
