How-to guide

Conversation records (vCon)

A vCon says who took part, what was said and when, on whichever channel it happened. Scout Suite makes one for each conversation from when vCons were switched on, keeps it up to date as transcripts and replies arrive, and stores it on vcon.store, our conversation archive. Each vCon is signed, so it's tamper-evident: any change to it can be detected. Because it's kept outside Scout Suite, the record is still there if something in Scout Suite is deleted or damaged.

  1. What becomes a vCon

One vCon for each phone call, voicemail and callback request, one for each meeting (with every recording, the transcript, summary and minutes), one for each email you send (with the replies), and one for each person you message on WhatsApp or SMS for each day.

Recordings and photos stay in Scout Suite. A vCon links to them and carries a fingerprint of each file, so anyone can check the file hasn't changed.

People are matched to members, contacts and users where we can tell who they are. Their phone number or email address is always kept as well.

  2. Consent to recording is part of the record

For a recorded call, the vCon notes how the caller was told: the call flow's Record step and the announcement it spoke, with the time, or that Record all calls started it with no announcement.

For a meeting, it notes who started the recording and that everyone in the meeting room saw the recording indicator. An uploaded recording says nothing was captured, so make sure the room knew.

  3. Download one conversation

Phone calls: the download icon at the end of each row. Meetings: Download vCon at the top of the meeting. Email, sent emails: open one and Download thread (vCon). Messaging: open a received message and Download this conversation (vCon), or open a sent message for Download conversations (vCon).

Your own assistant chats: the ... menu next to a conversation, Download vCon. Nobody else can download yours.

  4. Export everything, or one person's conversations

Settings, Data export, Conversations (vCon). Export all conversations downloads every vCon you're allowed to see. For a subject access request, put the person's email address or phone number under One person's conversations and Export.

You only get the conversations your role lets you see today: phone calls need access to phones, meetings to meetings, and emails and messages to communications.

Conversations from before vCons were switched on have no vCon.
